Cold chain readiness for Ramadan and peak season
How UAE food, hospitality and grocery businesses can prepare their refrigerated transport for Ramadan, Eid and winter peaks: forecasting, booking capacity early and protecting temperature.

For food, hospitality and grocery businesses in the UAE, the calendar has a few weeks that matter more than the rest. Ramadan, the two Eids, the winter events season and the year-end holidays all bring more orders, tighter delivery windows and very little room for error. The businesses that handle these peaks calmly are usually the ones that planned their cold chain weeks before the first order arrived.
Why Ramadan is different
Ramadan changes not only how much is delivered, but when. Demand shifts toward iftar and suhoor, kitchens and caterers work to the minute before sunset, and grocery orders climb in the days before the month begins and again before Eid. Traffic patterns change too, with heavier roads in the hour before iftar. For refrigerated transport, that means more vehicles needed in narrower windows, often at the same time as every other business in your sector.
Forecast early, then add a margin
Start with last year's numbers if you have them: orders per day, deliveries per route, peak days and the hours that were hardest to cover. Adjust for growth, new outlets and new contracts. Then add a margin. Peak forecasts are almost always too low, and the cost of a spare vehicle for a few weeks is small compared with a missed iftar delivery or a rejected load.
Book capacity before the market does
Refrigerated vehicles are a shared resource across the UAE, and in peak weeks everyone wants them at once. Short-term reefer rental is the natural way to add capacity for a few weeks, but it works best when it is reserved early. Agree dates, temperatures and routes with your provider in advance, and confirm what happens if you need to extend or add a vehicle at short notice.
- Six to eight weeks before: confirm your forecast and request quotes for extra capacity.
- Four weeks before: sign the peak rental agreement and confirm drivers.
- Two weeks before: finalise routes and receiving windows with key customers.
- During the peak: review daily and adjust early rather than late.
Protect temperature when everything is busier
Peak periods put pressure on the habits that protect temperature. Doors stay open longer while staff rush, vehicles are loaded faster and product waits on docks. Remind every team of the basics: pre-cool before loading, load straight from cold storage, keep doors closed between drops and check temperature at loading and delivery. A short briefing before the peak starts is worth more than a long investigation after a failure.
Plan the people as well as the vehicles
Drivers, helpers and dispatchers work long and unusual hours during Ramadan. Plan shifts that respect fasting, rest and family time, and give every driver a clear contact for problems on the road. Teams who are treated well during the busiest weeks are the ones who come back for the next peak.
Do not forget the winter season
The UAE's cooler months bring their own peak: outdoor events, weddings, conferences and tourism. Caterers and hotels that serve desert and outdoor venues face long routes, unfamiliar access and set-up windows that cannot move. The same planning applies: forecast, reserve capacity early and agree routes and timings in writing.
After the peak, review
Once the peak passes, take an hour to review what worked and what did not. Which days ran short? Which routes ran late? Which customers changed their windows? Keep the notes with your forecast, and next year's plan will start from a stronger position.
